Participant Terms — Template
Draft template. Organizations: this is a starting point for the terms your participants agree to before contributing. Change it to fit your project. If you broadcast contributions, ask a lawyer whether it covers what you do. Text in [brackets] is for you to fill in or choose.
This template keeps ownership with participants and gives the organization a license to use their contributions. If your organization needs to own contributions outright, replace section 2. Roundware doesn't decide this; you do.
Terms for contributing to [PROJECT NAME]
[PROJECT NAME] is run by [ORGANIZATION] ("we"). It uses Roundware, a platform provided by Halsey Solutions, LLC, to collect and play contributions.
The short version
- Your recording stays yours. You let us use it for [PROJECT NAME].
- It may be public: anyone visiting the project may hear it and see where it was made. [We may also play it on air, publish it, or use it in exhibitions.]
- Your name and email are optional. If you give them, only our team sees them.
- You can ask us to remove your contribution at any time. Anything already aired or published can't be taken back.
- Only record yourself, or people who agreed to be recorded. Don't include music or other material you don't have the right to share.
- If you're under [13 / 16], you need permission from a parent or guardian first.
1. What you're agreeing to
By contributing, you agree to these terms. Please read them; they're short.
2. Who owns your contribution
You do. "Your contribution" means the recording, photo, text and answers you send.
You give [ORGANIZATION] permission to use your contribution for [PROJECT NAME], without payment, worldwide, for as long as we keep it. That includes:
- [playing it on the project's site and map, and on share pages;]
- [broadcasting it, for example in a podcast or on radio;]
- [publishing it, for example on our website or social media;]
- [using it in exhibitions or installations;]
- [keeping it in our archive;]
- editing it for length or clarity, without changing its meaning;
- letting Roundware store and play it for us.
You can still use your contribution however you like yourself, and give others permission to use it too.
3. What's public
[Choose one:]
- [Contributions are public: anyone visiting the project can hear them and see where on the map they were made.]
- [Contributions are seen only by our team. We may choose some to share publicly, as section 2 says.]
Your name and email, if you give them, are never public. Only our team sees them, and we use them only to [contact you about your contribution / credit you, if you ask us to].
4. Changing your mind
You can ask us to remove your contribution at any time. Write to [CONTACT]. We'll stop using it from then on and delete it. If it was already broadcast, published or exhibited, we can't take that back, but we won't use it again.
5. Your promises
When you contribute, you promise that:
- it's your own, or you have the right to share it;
- anyone else who can be heard or seen in it agreed to be included;
- it doesn't include music or other material you don't have the right to share;
- it isn't hateful, threatening, or harmful to anyone.
We may choose not to use, or to remove, any contribution.
6. Young people
If you're under [13 in the USA / 16 in parts of Europe], please ask a parent or guardian before you contribute; they need to agree to these terms for you. [For school projects: your school has asked your parent or guardian already.]
7. Your data
We decide how your contribution and details are used, as these terms say. Roundware stores and plays them for us. How Roundware handles data is in its Privacy Policy. To see, correct or delete what we have about you, write to [CONTACT].
8. Contact
[ORGANIZATION], [CONTACT EMAIL] [and a postal address, if you want to give one]
